Service Teams

Service teams help set up the church for the services, greet worshippers as they arrive, ensure that people are ready to do jobs such as taking the collection, check that readers are present, and generally see to it that things run smoothly in the background. You can get a better idea of what they do from the checklists below. If you are interested in helping by joining a team, please talk to churchwardens Ken or Sue, or to John Rowley (especially for the 11am service).

Sidesmen's Checklist 9:15 am Service

Before Service.

  • Welcome newcomers - give welcome pack if new residents. (especially if no churchwarden present). 

  • Check appropriate lights are on.

  • Check appropriate altar candles are lit (matches in top right drawer in Vestry).

  • Fetch collection bags from Vestry (top left drawer).

  • Put up Hymn numbers (from list on notice board in vestry or check with organist or Nicola Grieves).

  • Check and issue correct service books, weekly notes etc.

  • Mark readings in Lectern Bible.

  • Check that readers are present (if not, inform officiating minister or find a volunteer).

  • Arrange two people to bring forward the bread and wine at offertory.

  • Arrange for two people to take collection (or more if the church is particularly full).

  • Ensure fresh glasses of water for preacher / officiating clergy (the tap is at the rear of the church in the play corner with the tap handle kept on the window ledge above).

During the Service.

  • Close doors when Service starts and (if it has been on) switch off porch heater.

  • Sit in Sidesman's seat (behind book cupboards) and assist latecomers.

  • Assist congregation if any need: .

    • Glass of water.

    • Toilets available at Church Hall (key by first aid box in West porch).

  • Ensure that collection is taken.

  • Ensure bread and wine taken up when offertory hymn begins.

  • Count number of adults and children present.

After Service.

  • Collect and put away books.

  • Encourage people to take home the weekly notice sheet.

  • Count and record collection. .

    • DO NOT open envelopes (place in cotton cash bag in safe).

    • Cotton cash bags are available in Vestry.

    • Record amount in small cash book and on separate slip (enclose slip with collection in cotton bag).

    • Place collection in safe.

  • Record number of congregation in register (eg for 45 adults and 8 children record "45+8").

  • Tidy pews and kneelers, including service sheets, notices, hymn books, mugs, etc.

 Sidesmen's Checklist - 11:00 am Service

Before Service

  • Arrival.  Sidesmen need to be on duty from 10:30 welcoming worshippers, and especially newcomers. Issue weekly notes. The service leader may need you to hand out flags, pencils, paper etc.

  • Welcoming Sign.  Make sure the welcoming sign is placed outside the church visible from the street.

  • Inner south porch doors. If the weather is very warm wedge one door open

  • Collection.  Fetch collection bags from vestry (top left drawer opposite safe). If you wish, you can ask other people to take the collection. Normally 2 will be sufficient, but if the church is very full, consider using more.

  • Holy Communion Kneelers.  If these have been left in front of the Communion table they should be moved to the chancel.

  • Reading desks and chairs.  Desks to be placed sideways as unobtrusively as possible in front of the front right hand pew with one chair, second chair to be left in position near microphone for service leader.

  • Portable lectern/"sermon notes stand" to be placed next to the microphone.

  • Projection Screen.  Graham Smith usually lifts into place but be prepared to do this if he is not present.

  • Projector to be brought from vestry, plugged in, switched on and positioned on stand.

  • Readers.  One of the duties is reading the lessons. Make sure you are prepared so that names such as Allammelech can trip fluently off your tongue.

  • Water.  Ensure a fresh glass of water is provided for preacher (the tap is at the rear of the church in the play corner with the tap handle kept on the window ledge above).

  • Lights.  These will usually be on following the 9:15 am service but just in case….check appropriate lights are on (switches under tower and by vestry door).  Normally all of the lights in the nave should be on.  If the chancel/high altar is being used, or if it looks particularly gloomy, also switch on the chancel spotlights (the switches are by the vestry door).

  • Order of Service. The service leader will have a copy of the order of service for you.

During the Service

  • Close the inner doors when the Service starts unless the weather is really hot, but be aware that if small children repeatedly attempt to escape, this may have to be closed.

  • Sit where you can keep an eye on the door so that you can welcome and assist latecomers.

  • Count the congregation - number of adults and under 16s separately. If there is communion, count the number of adult communicants and those under 16.

  • Assist congregation (toilets are available in the Church Hall - a Hall key is kept by the first aid box in West porch).

  • Ensure collection is taken.

After Service

  • Collection.

    • Take collection to vestry to count.

    • DO NOT open envelopes.  Put envelope donations together in a separate cloth bag and then in safe.

    • Count collection (two people): record the service date and time, breakdown of notes and coins, total, and your name, on collection slip.

    • Copy the service details and total from collection slip into exercise book (kept in top left-land drawer opposite the safe). 

    • Put collection slip, with the cash collection, in a bank bag and place in combination box inside safe (see a churchwarden or member of the ministry team for access).

  • Record size of congregation in register (number of adults and under-16s separately, e.g. "45 + 9").

  • Both reading desks and chairs to be placed diagonally side by side to right of carpet in front of radiator.

  • Portable lectern/"sermon notes stand" to be moved to between band and coffee table.

  • Take projector screen down and place behind blue curtain behind choir stalls.

  • Projector to be packed away and returned to safe in vestry.

  • Projector stand to be moved behind screen next to choir stalls.

  • Ensure all leads and cables are tidied away.

  • Blue dust cover to be placed on HC table, the cross and candles are replaced on top.

  • All candles to be extinguished.

  • Close lectern bible and cover with small blue dust cloth.

  • Make sure the service leader's microphone is switched off.

  • Tidy pews and kneelers and check the floor for missed cups and discarded notices, tissues etc.

  • Bring "Welcoming" sign back in from outside.

  • Ensure that electric heaters under tower and in the vestry are switched off.

  • Tidy the children's corner, if necessary there is a vacuum behind the curtain next to the coffee table.

  • Before you leave ensure there is a keyholder to lock up.

Instructions for Readers

  • Preparation before service:

  • Make sure you are familiar with the readings.

  • Uncover lectern bible and bookmark readings.

  • Ensure microphone is switched on.

  • Readings:

  • Read with your mouth as close as practicable to microphone.

  • Introduce and close readings as below (scripts are also on laminated sheets kept with the lectern bible).

  • Old Testament, Epistles, etc:

  • Introduction:

  • “A reading from <book name>".  Chapter and verse are listed on the weekly notes and do not need to be announced.

  • Close:

  • “This is the word of the Lord" 

  • Congregation replies: “Thanks be to God"

  • Gospel:

  • Introduction:

  • “Hear the Gospel of our Lord Jesus Christ according to <Matthew/Mark/Luke/John>".  

  • Congregation replies: “Glory to you O Lord". 

  • Close: 

  • “This is the Gospel of the Lord".  

  • Congregation replies: “Praise to you O Christ". 

  • After service:

  • Close lectern bible and replace fabric cover.
